Clothing Store Software: Sizes, Colors and Stock Without the Mess

In a clothing store, knowing you have a blue shirt isn't enough. You need to know how many are left in size L, and where they are. Here's how to keep sizes, colors, barcodes and stock counts in order with one system.

Clothing Store Software: Sizes, Colors and Stock Without the Mess

The hardest part of running a clothing store isn't selling. It's keeping track afterward. A single shirt can come in five sizes and four colors, which makes twenty different variants under one name. Record it as one item on paper or in a spreadsheet, and you'll never know why customers keep asking for the black medium you can't find while the white XXL piles up on the shelf. Any clothing store software worth the name fixes this at the root: it treats every size and color combination as its own item and groups them under one model that's easy to find.

What clothing store software actually needs to do

Before you pick a system, make sure it covers these five needs:

  • Sizes and colors under one model, not dozens of scattered items.
  • A barcode for every variant, so each movement lands on the right size and color.
  • Labels you print yourself, because a lot of stock arrives without barcodes.
  • Fast, accurate stock counts at the end of every season.
  • A clear history for every piece: what came in, what went out, what came back, and who recorded it.

Sizes and colors: one matrix instead of twenty items

In Makhzoon, you enter the model once with its number, then define up to three variant types and name them yourself: size and color, for example, or size, color and fabric. A matrix then lets you pick only the combinations you actually stock. If red doesn't come in XL, you leave it out, and your list stays free of combinations that don't exist.

Each variant gets its own barcode and its own price, so if larger sizes cost more, you can record that without creating a new model. Every item also has three prices: cost, retail and wholesale, with the margin calculated for you. That helps if you also sell wholesale to other shops.

An item photo makes similar models easier to tell apart, and you can also record each item's storage location and minimum stock level.

Barcodes and labels for every piece

Many clothing stores print their own tags. Makhzoon prints barcode labels in eight preset sizes or a custom size, on rolls or A4 paper, with the price and branch name, and up to 5,000 labels in one batch. When a new shipment arrives, you receive it, print its labels and tag each piece before it reaches the rack.

If some of your stock comes in cartons, such as socks or underwear, set the pieces per carton and its outer barcode. Quantities then show in cartons and pieces on every screen and report.

Stock movements: what came in, what went out, what came back

Every movement goes through a single log: stock in, stock out, transfers and adjustments to the actual count, with the reason, the user, and the quantity before and after. The ready-made reasons fit a clothing store well: purchase, return, damage, loss, and sale with the sale amount.

You can receive several items in one transaction. Scan the barcode, type the quantity, then press Enter. The app blocks negative stock and asks you to confirm large quantities. If you make a mistake, you cancel it with a recorded reversing entry, so nothing vanishes from the history.

If you have more than one location, such as a store with a stockroom behind it, you see each item's balance in every warehouse and transfer stock between them. Each warehouse also has a card showing its value at cost and its latest movement.

Counting a clothing store at the end of the season

Counting clothes is tiring because a single model has so many variants. Makhzoon lets you count by variant in a matrix view: the model is in front of you, sizes and colors sit in one grid, and you type a quantity in each cell.

  • Blind counts hide the system quantity from the employee, so they count what they actually see, not what they expect.
  • PDF count sheets with signature fields and the number of copies you need, for counting on the floor. You then enter the results with auto-save.
  • Recount discrepancies only, instead of starting the whole count over.

Reports: what runs out and what sits

The dashboard shows your stock right now: the item count, quantities and value at cost, a stock movement chart for the last 14 days, and alerts for low-stock and out-of-stock items. Ready-made reports include items by variant and sales amounts, low stock, out of stock, count discrepancies and transfers. All of them export to Excel or PDF, or print.

These reports show which sizes run out first, so you can order more next season, and which colors sit on the rack, so you can put them on sale.

Do you also need clothing store POS and accounting?

Makhzoon specializes in inventory and stock counts. If your main concern is keeping sizes and colors organized and making the system match the rack, that's what it was built for. If you need a clothing store POS that sells by barcode, prints invoices, closes the cash drawer by count and handles accounting alongside inventory, choose Daftar, our POS and accounting software, which has full inventory built in, including items with variants.

Frequently asked questions

Does Makhzoon work without internet?
Yes. Makhzoon is desktop software for Windows 10 and 11 with an Arabic interface. It works fully offline, and all your inventory data is stored on your computer.

Can I import my current items from Excel?
Yes. Download the template from the app, fill it in and upload it. The app flags errors and duplicate barcodes before saving.

How do I print a barcode for every size and color?
Every variant has its own barcode. You can print its labels in eight preset sizes or a custom size, on rolls or A4, with the price and branch name.

Does every employee see everything?
They don't have to. Makhzoon comes with ready-made roles (manager, warehouse staff and stock counter), and you can create custom roles. Permanently deleting an item requires a separate permission, and every action is recorded in the audit log.

The bottom line

A clothing store doesn't need bigger software. It needs software that understands one shirt can be twenty different variants. Enter the model once, choose its variants, print the labels and count with the matrix, and every morning you'll know what you have, how much of it, and where it is. To see it from the inside, visit the Makhzoon page, which has real screenshots and details on the monthly and yearly plans.
